Dashboard Auto-Restriction

What is dashboard auto-restriction?

By default, new dashboards in Plecto are visible to everyone in your organization. With dashboard auto-restriction enabled, this is reversed: every new dashboard starts out restricted to its creator and organization admins. Nobody else can see it until the creator explicitly shares it.

This is useful for organizations that want to work "private by default". For example, to keep draft dashboards hidden while they are being built, or to comply with internal data visibility policies.

Note: Dashboard auto-restriction is not enabled by default. If you would like to use it, reach out to us at support@plecto.com or contact your Customer Success Manager, and we will enable it for your organization.

How it works

Once auto-restriction is enabled for your organization:

  • New dashboards are automatically restricted to the creator and admins. This also applies to dashboards created through the API, unless an availability setting is explicitly provided.

  • Existing dashboards keep their current access settings. Enabling the feature does not change who can see dashboards you already have.

  • The Restrict access toggle in dashboard settings is replaced by an Available for setting with three options:

    • Everyone: all users with login access can view the dashboard.

    • Me and admins: only the dashboard's creator and organization admins can view it. This is the default for new dashboards.

    • Me, admins, and specific teams: the creator, admins, and everyone in the selected teams (including their sub-teams) can view it.

How to share a restricted dashboard:

  1. Open the dashboard.

  2. Click Settings in the top menu.

  3. Under Available for, select Everyone, or select Me, admins, and specific teams and add teams in the Teams with access field.

  4. Click Save in the bottom-right corner to finish.

Note:

  • Global Admins can always view and edit all dashboards, regardless of restrictions.

  • The dashboard's creator always keeps access to their own restricted dashboards.

  • If you restrict a parent dashboard, its sub-dashboards inherit the restriction. A sub-dashboard with its own access settings overrides the parent's restrictions.
